1. General Shipping Information & Cost Calculation
- Our Shipping Approach: We ship event supplies ranging from small accessories to large equipment like portable restrooms, tents, and generators. Shipping methods and costs vary significantly based on item size, weight, destination, and the warehouse location from which the item ships.
- Calculating Your Shipping Cost: Shipping costs are calculated dynamically during the checkout process based on the items in your cart and your delivery address. You will see the final shipping cost before completing your order.
- Optional Add-on: For extremely large or complex orders requiring specialized freight quoting, we may contact you after your order is placed to confirm the final shipping cost and details.
- Shipping Carriers: We utilize a variety of carriers, including standard parcel services (like UPS, FedEx) for smaller items and multiple LTL (Less-Than-Truckload) freight carriers for larger, heavier items. The specific carrier will depend on the item, origin, and destination.
2. Order Processing Time
- Processing: We strive to process and prepare orders for shipment within 5 business days (Monday-Friday, excluding holidays). However, some items ship directly from manufacturer warehouses and may have different lead times, which will be noted on the product page where applicable. Processing time does not include shipping transit time.
3. Estimated Delivery Times
- Parcel Shipments: Smaller items shipped via standard ground services typically arrive within 3-5 business days after leaving the warehouse.
- Freight (LTL) Shipments: Large items shipped via freight typically take 3-7 business days after leaving the warehouse. Delivery times for freight are estimates and depend on carrier scheduling, distance, and required delivery appointments.
- Disclaimer: Please note that all delivery times are estimates and are not guaranteed. Delays can occur due to weather, carrier issues, high volume periods, or other factors beyond our control.
4. Freight (LTL) Shipping – IMPORTANT Information
- Applicability: This applies to large, heavy items such as portable restrooms, large tents, stages, generators, barriers, etc. The shipping method will be indicated at checkout.
- Delivery Appointment: The freight carrier will contact you directly using the phone number provided on your order to schedule a delivery appointment. An adult must be present to receive and sign for the shipment.
- Unloading is Your Responsibility: Standard freight delivery is "curbside delivery." You (the customer) are responsible for providing the necessary equipment (e.g., forklift, pallet jack, loading dock) and personnel to unload the shipment from the truck. Drivers are not typically required or insured to assist with unloading.
- Forklift / Loading Dock Required: Due to the size and weight of freight items, a forklift or loading dock is required for safe unloading. Please ensure your delivery location can accommodate a large freight truck and that you have the necessary unloading equipment ready for your scheduled appointment.
- Liftgate Service (Optional): If you do not have a forklift or loading dock, Liftgate Service (a motorized platform on the truck to lower items to the ground) may be available for some items at an additional cost.
- Liftgate service must be requested and paid for at the time of order. Contact us before placing your order to confirm availability and cost for your specific items/location.
- Note: Liftgates have weight and size limitations and may not be suitable for all products. Even with liftgate service, you are still responsible for moving the item from the curb to its final location.
- Potential Additional Fees: You will be responsible for any additional fees charged by the freight carrier, including but not limited to:
- Re-delivery fees (if you miss the scheduled appointment).
- Storage fees (if delivery cannot be completed promptly).
- Residential delivery surcharges.
- Limited Access fees (e.g., schools, construction sites, government facilities).
- Inside Delivery fees (if requested and available).
5. Receiving, Inspection, and Signing for Shipments
- Inspect Before Signing: THIS IS CRITICAL. Before signing the delivery receipt (Bill of Lading - BOL), thoroughly inspect ALL items for any visible damage or shortages. Check packaging and contents.
- Note Damage/Shortages on Delivery Receipt: If you find any damage (dents, tears, crushed corners, missing items), you MUST note it specifically on the delivery receipt BEFORE the driver leaves. Be specific (e.g., "Forklift damage on side," "Box crushed, item inside scratched," "Missing 1 of 3 boxes").
- Keep Copies & Packaging: Keep a copy of the signed delivery receipt with your notations. Keep ALL original packaging materials until you are sure the items are undamaged and functioning correctly, as they are required for damage claims.
- Signing Clear = Acceptance: Signing the delivery receipt without noting damage signifies you have received the shipment in good condition. It becomes very difficult, often impossible, to file a successful freight claim later if damage was not noted at the time of delivery.
- Concealed Damage: If you discover damage after the driver has left (concealed damage), contact us immediately at (800) 542-1398 and info@eventreadysupply.com within 24 of delivery. Retain all packaging. We will assist you in starting the claim process, but claims for concealed damage are often challenging.
6. Multiple Shipments & Shipping Origins
- Split Shipments: Your order may contain items shipping from different locations (our warehouse, various manufacturer warehouses). Because of this, items in your order may arrive separately, on different days, and via different carriers.
- Tracking: We will provide tracking information for each individual shipment as it becomes available. You may receive multiple tracking numbers for a single order.
7. Shipping Restrictions
- Service Area: We currently ship all orders within the US and Canada. We cannot ship to PO Boxes. APO/ FPO or international orders, contact us to make arrangements.
- Freight Access: Ensure your delivery location is accessible by standard freight trucks.
8. Returns & Exchanges
- Please see our full returns page for details on returning items. Note that original shipping charges are non-refundable, and customers are typically responsible for return shipping costs. Restocking fees may apply, especially for freight items returned for reasons other than defect or shipping damage noted upon receipt.
